CONDITIONS OF ENTRY (All entry fees, admission charges and prize money is GST inclusive.)

1.         Close of Entries

Entries Close on Monday 1st  December 2008 at 4.30pm Entries can be paid online at www.efavic.com.au or Post to: Barastoc EFA  Po Box 616, Werribee, VIC 3030.  

Late entries will be accepted up to 5.00pm Monday 5th January 2009; however a 50% surcharge will apply to entry fees only.

2.         The Organising Committee reserves the right to accept or reject any entry or vary the conditions of any event or to cancel any event without assigning a reason. 

3.         Facility Fee

Exhibitors will be required to pay a compulsory Facility Fee of $11.00  per horse/pony entered, per day.  This fee will be passed onto the Werribee Park National Equestrian Centre.

4.         Security Fee

Over the past few years theft and vandalism at the Barastoc Horse of the Year Show has increased to an unacceptable level. In order to protect the venue, sponsor signs and exhibitors equipment, the Committee has decided to set a fee to cover the cost of overnight security during the 2009 Show.

Exhibitors will be required to pay a compulsory Security Fee of $5.00 per horse/pony entered.

5.         Registration of Horses

  • Life Horse Registration is $129 or EFA Victoria now allows a Probationary Registration for new horses (cost $77 x 2 instalments).

  • This allows the horse to be part registered ($77 is payable with original application). If the horse is to continue being shown, the “second half fee of $77” is payable in the following year, at which time the horse is considered registered for Life.

6.         Insurance – Applies to all sections & classes

Competitors (Riders & Handlers) who are not financial members of the Equestrian Federation of Australia (EFA) must include an additional $20.00, for Public Liability Insurance, and include a signed Waiver (attached to entry form)

The EFA membership number must be shown on the entry form, in the space provided.

(Note – Must be Junior, Senior or Show Horse Membership. Official/Supporter Level of membership not accepted.)

7.        Exhibit Numbers –Note Change for 2009 Show

Exhibit Numbers will be supplied by the Organising Committee. Exhibitors will be required to collect their Exhibit Numbers from the Secretary’s Office on arrival.

Exhibitors will be issued with their paid copy of the Program, History Book & Souvenir Poster, when collecting Exhibit Numbers

8.         Exhibitor Passes        

Exhibitors will not be issued with Complimentary Passes.  However, exhibitors may purchase an Exhibitors Pass ($25) with their entries. An Exhibitors Pass will admit an exhibitor’s horse transporting vehicle and its occupants. Only exhibitors able to produce an Exhibitors Pass will be allowed entry to the venue, at no charge.  Where an Exhibitors Pass cannot be produced the following admission charges will apply -

An Exhibitor Pass cannot be obtained at the gate and occupants of support vehicle will be required to pay admission charges.

9.         Drug Testing and Swabbing

The Committee reserves the right to take blood and/or urine samples from all or any horse entered in the Horse of the Year Show and/or horses present at Werribee Park in accordance with the FEI Rules and/or the relevant regulations contained in the Royal Agricultural Society of Victoria’s Prize Schedule for Horse Events.

10.       Measuring

All exhibitors must be able to produce a height certificates upon request.  The Royal Agricultural Society of Victoria’s 2008 Royal Show and 2008 Summer Show Measurements and/or Equestrian Federation of Australia Official Measurements will be accepted upon production of the relevant documents, provided the horse was 6 years old or over at the time of Measurement, excluding all Newcomers – Section Thirteen (13). All Newcomer FINALISTS must be measured prior to entering the ring. If a Newcomer FINALIST measurers over or under the required  height, the exhibit will not be permitted to transfer to the correct height class, and will therefore be eliminated from any further competition in the New comers Section.

Horses and Ponies not measured prior to the Event must be presented for measuring on the day of competition at a time to be advised.  In the event of a height variation, an exhibit will be transferred to the correct category.

All exhibitors may be requested to produce Original Height Certificates on the day.  Exhibitors not able to do so will have their horses measured.

11.       Heats

  • Horses entered in classes, which are conducted in heats, must compete in the heat drawn.  Failure to present for the heat drawn will result in automatic elimination.  Exhibitors with two or more horses entered in a class must indicate on the entry form if they wish the horses to be drawn in different heats.

12.       Finalists (All Saddle Classes) 

Once a finalist for a class has been selected, there will be no substitution should a horse/s not present for final judging.

13.       Objections (All except showjumping)

Any objections or protests must be made in writing and signed, and handed to the secretary with a deposit of AUS$100 prior to the commencement of judging for the class concerned or within thirty (30) minutes after presentation of sashes/ribbons. The Committee or their appointed representative/s shall determine the objection and will call such evidence as they think fit. If the decision goes against the objector, he/she will forfeit his/her deposit of AUS$100 and be liable for any expenses occasioned by the objection. Should the objection be allowed by the Committee, the deposit will be refunded.

Should the objector wish to appeal the Committee’s decision, he/she must lodge an appeal in accordance with the rules of The Equestrian Federation of Australia Limited.

14.       Handler’s Attire (Sections 1 - 14)

Horses may be held in Ring centre during preliminary judging, however handlers must be correctly dressed.  Handlers wearing shorts and thongs, or tracksuits will not be permitted into the ring.

15.       Eligibility for Championship Awards

In Sections where a Panel of Judges carries out the judging of the “Championship Award”, the onus is on the owner/exhibitor to ensure the horse and themselves are eligible to compete under any of the Judges concerned.

No Judge will stand aside for the judging of a “Championship Award”.

16.       Age of Horses

The minimum age of a horse competing in the Saddle Sections is three (3) years of age.

Age of Riders

The age of a Rider will be as per the first day (12/2/2009) of the Show, unless stated otherwise.

17.       Whips (Sections 1 - 14)

The maximum length for whips is 78 cm, including flaps.

18.       Costume (Sections 1 - 14)

When riding ponies 14 hands & under riders must wear jodhpurs and short boots.

19.       Helmets (Sections 1 – 16)

Approved Equestrian Helmets must be worn at all times when riding at the Werribee Park NatioEquestrian Centre.
